Zoo Administrative Assistant – Part Time
Hourly Rate: $ $19.49 – $ $29.24

Role Summary: Provides administrative support to the Administration/Finance and Operations Divisions. Assists with special projects, reports and purchasing. Complete on-boarding and off-boarding tasks for staff and assist with employee recognition program. Provide back-up support for incoming and outgoing mail processing. Support Zoo uniform program including distribution, organization, and ordering. Assist with meeting coordination and minutes. Provide policy and procedure assistance. Monitor lost and found program. Additional duties as assigned.

Role Responsibilities:
  • Administrative Support – Provides administrative support for Administration/Finance and Operations Divisions and may provide support for other Zoo leaders answers phones coordinates mtgs &amp mtg rooms/equip prepares correspondence maintains files handles confidential information. Place purchasing orders in Infor including uniforms for full-time and seasonal employees. Update policies and procedures as assigned.
  • HR liaison and Staff Recognition – On and off-boarding tasks including new hire welcome emails (for full-time hires), maintain email distribution lists, update photo and phone directories and emergency contact lists as needed. Assist with employee recognition program.
  • Lost and Found Program – Monitor lost and found process continually looking for ways to improve upon current program.
  • Special Projects, IMSD liaison and back-up support to Switchboard and Administration Clerical Staff as needed – Assist Admin/Finance and Operations Divisions with special reports and projects as assigned. May be required to work special events as needed outside of regular work shifts such as job fairs, community engagement events, Zoo a la carte, etc. Provide back-up assistance to switchboard and other administrative clerical staff as needed for breaks and/or time off or during large volume workdays. This may include, but is not limited to, answering phones, handling guest inquiries, processing incoming and outgoing mail, preparing, and distributing reports. Act as IMSD liaison for staff when troubleshooting is needed.
Minimum Qualifications:
  • Current resident of Wisconsin
  • Valid WI Class D Driver’s License
  • High School Diploma or above
  • At least Three (3) years or more experience in administrative support, administrative assistant role.
  • Ability to lift/carry/push/pull 20 lbs.

  • Strong written and verbal communications skills
  • Ability to work independently.
Technology, Systems and Software Knowledge required to perform the job –
  • Advanced experience with Microsoft Office products (Word, Excel, Outlook, PowerPoint) and OneDrive required.
  • Knowledge of Smartsheet preferred.
  • Knowledge of purchasing software preferred.
  • Intermediate knowledge of working with Adobe/PDF files
