The State of New Hampshire, Department of Education, Division of Educator Support &amp Higher Education and Bureau of Higher Education has a part time vacancy for a Program Assistant II.

18 Months of additional relevant experience = Associates degree

SCOPE OF WORK: To perform paraprofessional duties of program support to assist the Administrator and the Division of Educator Support and Higher Education (DESHE) in developing and implementing program policies and procedures to ensure compliance within the specialized state and federal programs which encompass the DESHE and its resources.

ACCOUNTABILITIES:

Reviews daily requests, orders, and transactions submitted by DESHE division employees and follows established procedures in routing them to the appropriate resource. Maintains inventory controls, per State RSA standards, by tracking, overseeing and maintaining accurate records of current and projected inventory costs and appropriate budgetary spend downs.

Works collaboratively with the Office of Business Management to ensure that year-end physical inventory for the Division of Educator Support and Higher Education (DESHE) is accurate and applies knowledge of established policies and procedures resolve any discrepancies.

Reviews, clarifies, and provides guidance on vendor processes to employees within DESHE to support the Division regarding facility management vendor identification, contracts and budget allocations, and general service work orders, and coordinates purchase and management of technology items. Makes recommendations of policy and/or procedure changes to improve workflow and efficiencies.

Provides oversite of division supplies, monitoring usage and ordering for the entire division in compliance with agency procedures and budget. Verifies costs, prepares purchase orders, and communicates with external suppliers. Utilizes tracking methods and software tools to audit and reconcile spending to the budget.

Communicates with vendors and other state agencies regarding current and projected state projects and contract funds, changes to these projects and funds and/or updates to state and/or federal regulations specific to them. Assists in educating and training employees and/or vendors to specific federal regulations.

Assists the Division by performing data entry of requisitions into the Lawson system and data entry into the Item Request Tracking (IRT) system as appropriate.

Assists in the preparation and coordination of Governor and Council letters, Fiscal Committee letters, and in-house contracts (as appropriate) for the Division of Educator Support and Higher Education (DESHE). May represent DESHE at G&ampC and fiscal committee meetings, as appropriate.

Provides administrative support by designing, modifying, and maintaining DESHE forms and instructions for staff use throughout the Agency. Compiles, develops and prepares policy materials, per established guidelines, for dissemination to a superior, agency staff or the public.

Tracks and processes credit card refunds for DESHE in accordance with state and PCI standards, policies, and procedures and researches any discrepancies.

MINIMUM QUALIFICATIONS:

Education: Associates degree from an accredited institute of higher education with a major study in business, administration, or education. Each additional year of approved formal education may be substituted for one year of required work experience

Experience: Three years of experience in business, administration, or education, with responsibility for providing program information to others. Each additional year of approved work experience may be substituted for one year of required formal education.

PREFERRED WORK TRAITS: Prefer experience with responsibility for planning, monitoring programs, or performing research.
