Job Description : Overview: Hexagons Autonomy and Positioning division is looking for a full-time Office Administrator to manage reception and undertake administration tasks for the organisation. Based in our Veripos office, this position will provide administration support including booking business travel, updating documentation, general administration and providing a professional service to site visitors on reception.
While part of the QHSE &amp Facilities, this position will join a high-performing team focused on delivering QHSE &amp Facilities services to our internal and external customers.

The Location:
This position is based in Aberdeen.
Responsibilities: As an Office Administrator , responsibilities include:
  • Liaising with the Travel Management Company to organise flights for employees, as per travel requests to the travel in-box.
  • Responsible for all reception-based duties, ensuring excellent and professional service to employees,visitors, and on-site contractors.
  • Responsible for ordering lunches upon request of employees for business requirements.
  • Provide support to the Facilities &amp QA Co-ordinator when requested by coordinating third-party services and maintenance for Veripos House, as per the annual maintenance plan.
  • Gathering Information on behalf of the QHSE &amp Facilities department for quarterly reporting.
  • Carrying out monthly inspections on all first aid kits and update stock when required.
  • Carrying out monthly water quality checks alongside the Facilities &amp QA Co-ordinator.
  • Carrying out weekly fire alarm tests alongside the Facilities &amp QA Co-ordinator.
Qualifications: Must-Have:
  • Educated to HNC/HND Level
  • 5 Years + experience in a similar role
  • Experience with booking business travel and liaising with Travel Management Companies
  • Experience with Office 365 tools (Word, Excel, PowerPoint and SharePoint)
Key Success Factors:
  • Can work well both alone and as part of team, with excellent and clear communication skills.
Nice-to-Have:
  • Awareness of Quality, Environmental or Health &amp Safety requirements within the workplace.
  • Previous experience in a Facilities team
