The Role

The position of Executive Assistant is a fast-paced, varied role working directly with VP’s of the FFIO/FFIOT leadership team to support them in their daily routine to achieve critical initiatives.

In this diverse role there will be many tasks to handle simultaneously while prioritizing assignments. Strong interpersonal skills with a consistent track record of working cooperatively and effectively with various personalities and levels of management and support staff will be vital along with strong verbal and written communication skills. You will use your good judgment, respect for confidential issues and discretion and diplomacy values.

The role also requires onsite support of Meetings and Events, even if they fall outside a Connect Week.

This role reports to the Administrative Shared Services Manager.

The Expertise and Skills You Bring

  • 1-3 years of Fidelity administrative experience preferred.
  • Highly professional demeanor and previous corporate environment experience required
  • Detail oriented with outstanding organizational skills
  • Expert level knowledge of Microsoft Suite products including Word, Excel, PowerPoint, Teams, and Outlook. Experience with Zoom also required.
  • Expertise with document sharing applications (preferably SharePoint and Office 365)

Primary Responsibilities

Calendar Management

  • Coordinate internal and external meetings
  • Reserve appropriate conference/team rooms, and include audio/video connectivity details
  • Partner with other FFIO/FFIOT administrative staff to align schedules
  • Resolve scheduling issues as they arise

Travel

  • Coordinate domestic and international business travel logistics, including hotel, air, rental car, and passport/visa processing
  • Prepare travel and entertainment expense reimbursement requests in a timely manner, in compliance with corporate policies and procedures

The Team

Strong teammate to work as integral member of Essential Services Team. Ability to work independently with strong sense of ownership.

Fidelitys working model blends the best of working offsite with maximizing time together in person to meet associate and business needs.
