Job Summary:

The Coordinator Office Services is responsible for supporting office operations by coordinating administrative affairs and programs for the office of Student Affairs for the Burnett School of Medicine.

Duties &amp Essential Job Functions:

1. Manages office services by controlling correspondence maintaining filing systems reviewing and approving supply requisitions, planning and implementing office systems, layouts, and equipment procurement.
2. Provides administrative support for the Assistant Dean and Director of Student Affairs, by keeping calendars, and coordinating meetings
3. Plans and coordinates special projects to meet strategic goals and objectives manages Student Affairs standing committees initiatives and timelines as assigned by the Director.
4. Engages key stakeholders whose collaboration or feedback is needed to successfully achieve the school-wide and departmental outcomes.
5. Facilitates department programs by creating the process to implement programs monitoring program progress coordinating activities communicating with vendors resolving problems making recommendations for management approval.
6. Coordinates events by scheduling facilities and parking coordinating catering determining meeting requirements and expediting services providing coordination and assistance and keeping records of the meetings as requested.
7. Maintains data integrity by entering, testing, verifying and archiving office fines, inventory, and data.
8. Monitors expenses by gathering and reporting budget information facilitating and monitoring invoices and purchase orders, scheduling and reconciling expenditures.
9. Manages public relations by greeting customers, constituents and colleagues in person or on the telephone answering or referring inquiries, providing information and assistance regarding department functions.
10. Performs other related duties as assigned.

Required Education &amp Experience:

  • Associate degree and 3 plus years administrative experience.
OR
  • High school diploma or GED equivalent and 5 plus years of related experience.

Preferred Education &amp Experience:

  • Bachelors degree in a related field.
  • Experience in a senior-level executive office in an academic environment.
  • 5 plus years experience with higher education and/or executive-level administration in a complex organization.

Knowledge, Skills &amp Abilities:

  • Knowledge of basic accounting processes.
  • Knowledge of specific job related programs.
  • Knowledge of customer service techniques.
  • Knowledge of department specific computer software.
  • Knowledge of Microsoft Windows navigations.
  • Skill in some or all components of Microsoft Office.
  • Skill in basic keyboarding techniques.
  • Skill in basic record keeping techniques.
  • Ability to clearly communicate information.
  • Ability to draft grammatically correct correspondence.
  • Ability to manage multiple projects and meet deadlines.
  • Ability to assume administrative tasks and make independent decisions regarding daily activities.

Physical Requirements (With or Without Accommodations):

  • Visual acuity to read information from computer screens, forms and other printed materials and information.
  • Able to speak (enunciate) clearly in conversation and general communication.
