Alabama Office of Apprenticeship and AIDT in Montgomery, AL are seeking applicants a full-time Administrative Assistant.($49,475 – $65,514)

SYNOPSIS

Provides high-level administrative support for Alabama Office of Apprenticeship (AOA) external customers and internal staff. This position requires a high level of professionalism, attention to detail, and the ability to work without direct supervision.

Duties and Responsibilities:

Administrative Responsibilities:

  • Provide high level administrative assistance to the AOA including but not limited to typing, faxing, editing, processing, proofreading, copying, categorizing, filing of letters, memos, forms, reports, notes, and other internal and external documentation and communications.
  • Schedule meetings, AOA activities, classes, workshops, seminars, conferences, appointments travel arrangements, and prepare expense reports for project management division and others.
  • Create and edit functional informational material including fliers, posters, training guides, and other electronic and print documents.
  • Process correspondence to internal and external customers.
  • Maintain security of confidential information.
  • Attend meetings and AOA functions including occasional required travel.
  • Receive, inventory, and store materials and equipment purchased on behalf of the AOA.
  • Compile statistics and prepare reports, when needed.
  • Perform other duties and special projects as assigned by the director of the AOA.

  • Coordinate and account for AOA resources within assigned area(s) of responsibility.

  • Maintains housekeeping to organizational standards.
  • Interact professionally with co-workers and the public.

Required Knowledge, Skills, and Abilities:

  • Ability to function in a team-based environment.
  • Skill in generally accepted office practices and processes.
  • Proficient in Microsoft Office applications.
  • Skill in reading, writing, spelling, punctuating, and editing of work.
  • Ability to function in an automated work environment using computer systems, copiers, electronic mail, and telephone systems.
  • Ability to communicate effectively verbally and in writing.
  • Ability to work independently.
  • Ability to interact professionally with company representatives, public officials, trainees, coworkers and the public.
  • Ability to set and meet deadlines and handle multiple administrative functions concurrently.
  • Ability to follow established laws, policies, and procedures.
  • Ability to comply with AOA policy regarding attendance.

Required Minimum Qualifications:

AIDT Policy Manual minimum qualifications for Salary Schedule E2 are: Minimum high school diploma or GED certificate and two years additional college training in appropriate area of specialization or three years work experience in appropriate area of specialization.

Salary and General:

Initial placement will be based on experience and education applicable to the E2 salary schedule, within a range of $49,475 – $65,514. Paid monthly. Excellent benefits package included.

Criminal Background Check:

In accordance with AIDT policy and guidelines, the applicant chosen for employment will be required to sign a Criminal Background Check consent form and to submit a nonrefundable $26.17 payment for the cost of the criminal background check. (Note: $26.17 fee is based on possession of an Alabama Driver License. The fee for the background check may be more or less if the driver’s license is not an Alabama license.)
